How HelloZEE handles information from website visitors, clients, enquiries, and job applicants.

We use your information to respond to you, provide agreed services, manage our business relationship, and operate this website. This policy also explains how data is handled when client accounts and PayHere invoice payments are available.

1. Who this policy applies to

HelloZEE Private Limited (HelloZEE) is responsible for the personal information we collect through this website and our direct client communications. This policy covers visitors, prospective and existing clients, authorised account users, blog commenters, and people applying for a role with us. Questions and privacy requests can be sent to the contact details at the end of this page. Account and payment provisions also cover our planned client portal at clients.hellozee.com when it becomes available.

2. Information we receive

  • Enquiries: your name, email, phone number, subject, message, and any project details you choose to share.
  • Client services: business and billing details, project requirements, files, approvals, support messages, and correspondence needed for the work.
  • Client accounts, when available: account identification, contact details, access records, and the projects and invoices associated with your account.
  • Payments, when available: invoice references, amounts, currency, payment status, and transaction references supplied by the payment provider.
  • Job applications: your name, email, selected role, CV or résumé, and the information contained in the files you submit.
  • Blog comments: your name, email, comment, the article it relates to, and the date posted. Your name, comment, and posting date are published on the article; your email is available to our administrators and is not published. Do not include private information in a public comment.
  • Website usage: pages visited, interactions, browser and device information, and technical information processed by our website providers and Google Analytics, including network information such as an IP address.

3. How we use information

  • Respond to enquiries, prepare quotations, and communicate about projects.
  • Deliver services, provide support, and manage client access where offered.
  • Match payments to invoices, keep accounting records, and handle refunds or disputes.
  • Assess applications and contact candidates about recruitment.
  • Publish and moderate blog comments, understand website usage, diagnose problems, and protect against misuse.
  • Meet applicable legal obligations and resolve business disputes.

Depending on the activity and applicable law, we process information to respond to a request or perform a contract, meet a legal obligation, pursue legitimate business interests, or with consent where required. Sending an enquiry is not an agreement to receive unrelated marketing.

4. PayHere and payment information

When PayHere checkout is offered, payment credentials are entered with PayHere and its payment partners. HelloZEE does not collect or store your full card number or CVV through that checkout. We use the billing and transaction information needed to identify the payer, reconcile the invoice, and provide support.

PayHere handles information under its own Privacy Policy. Never include card credentials, account passwords, or one-time codes in a contact form or email to us.

5. Service providers and sharing

Relevant information is shared with the providers needed for the activity: hosting, database, and infrastructure providers (including the MongoDB database used to store blog comments), Resend for delivering contact and recruitment submissions by email, Google Analytics for website usage, and PayHere and payment partners when processing payments. Team members working on your enquiry, application, or service may also access the relevant information.

Some pages include externally hosted images. When your browser loads an image directly from an external provider, that provider receives the technical information needed to handle the request. External links, including social media links, lead to services with their own privacy practices.

We may disclose information to professional advisers or public authorities where necessary for a legal obligation, a valid request, or a dispute. We do not sell your personal information. Providers may process data outside Sri Lanka; applicable transfer requirements depend on the service and relevant law. Contact us for questions about a particular transfer.

6. Cookies and Google Analytics

The live website uses Google Analytics to measure visits and page navigation. Google Analytics can use cookies and similar identifiers and receives information about your browser and use of the site. Learn how Google uses information from sites using its services.

The administration area uses a session cookie to maintain an authenticated sign-in. You do not need to sign in to read our public pages or policies. You can clear or block cookies in your browser settings. Google also provides a Google Analytics opt-out browser add-on for supported browsers. Blocking cookies may affect features that depend on them, including sign-in or checkout where those features are offered.

7. Retention and security

We retain information for as long as needed for the relevant enquiry, project, recruitment process, or business relationship, and for applicable accounting, legal, and dispute-handling requirements. The period varies by record type. Closing an account or requesting deletion may not remove invoices or other records we are required to retain. Contact us for information about a particular record.

No website, email system, or storage service can guarantee absolute security. Share only the information needed for your request and contact us promptly if you suspect unauthorised access to information associated with your account or project.

8. Your choices and requests

You can ask us to access or correct your personal information, request deletion, object to or restrict a use, or withdraw consent where processing relies on it. We will assess requests according to applicable law and explain any information we need to retain. We may verify your identity before disclosing or changing records. Withdrawal of consent does not undo processing already lawfully carried out.

You may choose not to provide optional information. If information is necessary to respond, deliver a service, assess an application, or process a payment, we may be unable to complete that activity without it. You may also raise a concern with the relevant data protection authority where applicable.
